Privacy Policy

This Privacy Policy describes how Tot Squad Services, LLC collects, uses, and shares information across the Platform, including Baby Concierge, MotherFund, and Robyn / AI Doula. By using the Platform, you consent to the practices described here.

1. Information We Collect

1.1 Baby Concierge Customers

  • Baby Concierge customers: name, email, and phone number (stored hashed). Access is managed via a secure tokenized link rather than a traditional account/password.
  • Appointment and registry details you provide for Baby Concierge consultations.
  • Payment is processed by our payment processor(s); Tot Squad does not see or store full card numbers.

1.2 MotherFund

  • Account credentials: name, email, and password (stored hashed), for fund owners and any contributor who creates a MotherFund account.
  • Fund owners: fund story, photo, baby's due date and/or date of birth, and location (city, state) they choose to share.
  • Contributors: name, email, and optional message. An account is not required to contribute.

1.3 Baby Specialists

  • Contact, onboarding, licensing/certification, and payout information collected through our contractor onboarding and payment tools (WorkMarket).
  • Background check results obtained through ADP WorkMarket and, for occasional one-off checks, Checkr, each a third-party consumer reporting agency, prior to engagement and periodically thereafter, as permitted by the Fair Credit Reporting Act and applicable state law.
  • Engagement information, such as onboarding evaluations, engagement notes, ratings and reviews related to your work as a Baby Specialist.

If you are an active Tot Squad contractor, such as a Baby Specialist, you may choose to connect your personal Google Calendar to Tot Squad Central. This connection is optional and available only to active contractors — it is not offered to customers or the general public.

We use this connection for one purpose: to read your calendar's free and busy time so we can avoid scheduling you when you're not available. We do not read event titles, descriptions, locations, guests, or any other details of your calendar events.

We do not sell this information, and we do not use it for advertising. We do not share it with third parties except as needed to provide the scheduling feature within Tot Squad Central, and no Tot Squad team member accesses your calendar data except at your request for support, as needed for security, or as required by law.

We do not feed Google Calendar data into any AI model, generative AI service, or machine learning system.

You can disconnect your Google Calendar at any time in your account settings, or by revoking access directly at myaccount.google.com/permissions; once disconnected, we stop accessing your calendar.

Tot Squad Central's use of information received from Google APIs follows the Google API Services User Data Policy, including the Limited Use requirements.

1.4 Robyn / AI Doula

Conversation content you share with Robyn, and related usage data.

1.5 Website Use Information

Standard technical data (IP address, browser type, pages visited) collected via cookies and similar technologies, used to operate and improve the Platform.

2. What's Public

A published MotherFund fund page is visible to anyone with the link: fund title, story, photo, location (city, state) and aggregate amount raised. Individual contribution amounts are never shown publicly — only the fund owner sees them. Contributor names and messages appear only if the contributor opts in. A fund owner may choose to display her city and state on her public fund page. Contributor emails are never shown to anyone, including the fund owner.

3. How We Use Information

We use information to operate the Platform: scheduling and delivering Baby Concierge consultations, processing MotherFund contributions and gift-card redemptions, sending receipts and account notifications, providing customer support, maintaining security, and (with consent) sending promotional communications. We do not sell personal information to third parties for their own marketing use.

4. Who We Share Information With

We share information only as needed to operate the Platform, including with:

  • Payment and fund infrastructure: Stripe (MotherFund contributions), Melio and, as we transition, Stripe (Baby Specialist payouts).
  • Platform infrastructure: our hosting, email delivery (e.g. Postmark), and file/photo storage providers.
  • Gift card fulfillment: the retail or brand partner whose gift card you redeem, and our gift-card processing infrastructure (currently DIY, evaluating Blackhawk Network for scaled processing).
  • Contractor administration: WorkMarket, for Baby Specialist onboarding and payment.
  • Retail partners (e.g., Target): appointment and program-performance data needed to operate the Baby Concierge program under our partnership agreement.
  • Legal and safety: when required by law, court order, or to protect the rights and safety of Tot Squad or our Users.

In the event of a merger, financing, or sale of some or all of our business, personal information may be disclosed to those involved in the transaction, subject to this Policy.

5. Baby Specialist Google Calendar Data

As described in Section 1.3, Google Calendar free/busy data is used solely for scheduling and is never used to train or operate any AI or generative model, including Robyn.

6. Robyn / AI Doula Data

Conversations with Robyn are used to provide the service and may be used, in de-identified or aggregated form where feasible, to improve Robyn and related AI systems. We do not use Google Calendar data (Section 5) for this purpose, and we do not use Baby Concierge appointment content for AI training. If our approach to AI training changes materially, we will update this Policy and, where required by law, seek your consent.

7. Cookies & Website Use Information

We use cookies and similar technologies to operate the site, remember your cart/session, and understand site usage. You can control cookies through your browser settings; disabling them may affect site functionality.

8. Your Choices & Rights

You can edit your account or fund page at any time. To access, correct, or delete your information, email hello@totsquad.com or motherfund@totsquad.com. We may retain records we are legally required to keep (e.g., payment and tax records) even after a deletion request. California residents have additional rights under the CCPA/CPRA, described in the California Privacy Notice referenced in Section 10.

9. Security & Children's Privacy

We use commercially reasonable technical and administrative safeguards to protect personal information, but no method of transmission or storage is 100% secure. The Platform is not directed to children under 13, and we do not knowingly collect personal information from children under 13. The Platform is intended solely for individuals 18 years of age or older. Individuals between 13 and 17 are not authorized to create an account, contribute to a MotherFund, or otherwise use the Platform.

10. California Residents

California residents have rights under the CCPA/CPRA, including rights to know, delete, correct, and opt out of the sale/sharing of personal information, as detailed in our separate California Privacy Notice. To exercise these rights, contact us using the methods in that Notice.

11. Changes to This Policy

We may update this Privacy Policy from time to time; we'll post the revised version here with a new effective date, and where changes are material, we'll provide additional notice.
